Job Description
As Executive Assistant you will provide executive and administrative support in the day to day operations primarily to Head of Expansion but to other leadership team members as required at Expansion. The role will include a broad scope of tasks, ranging from administrative tasks to planning and coordinating meetings and events, prepare communication materials as well as acting single point of contact towards internal and external stakeholders for the managers. You will report to Head of Expansion and work in close collaboration with the executives, being involved in their day to day tasks as well as specific projects.
Your responsibilities:
Give administrative support to the executives.
Manage and maintain schedules and emails; optimizing time and do proactive planning.
Prioritize meetings, presentations and events and keep track time is spent on the right things connected to key priorities and goals.
Acting as a point of contact towards internal and external stakeholders for the managers.
Prepare, facilitate and set meeting agendas.
Produce and review presentation material, maintaining communication share-points and responsible for digital events such as broadcasts, lectures and workshops.
Organize external and internal meetings and events.
Responsible for administrative tasks such as, handling expense reports, time reports, invoices as well as planning and purchasing items.
Office- and administrative routines connected to the office environment.
Business travel arrangement and travel planning.

Qualifications
We believe you have/are:
A minimum of 3-5 years of executive support experience.
Experience from stakeholder management and leadership support from a large international organization.
Strong administration and organizational skills, but in the same time being comfortable working in a fast-moving and ever-changing environment.
Strong communication skills, you are fluent in English, both written and spoken.
Excellent Office365 skills (particularly PowerPoint, Teams and Sharepoint).
Skilled in time- and workload management.
