We are looking for an Executive Assistant for a global automotive company in Gothenburg. We are looking for someone that has previous experience of assisting leaders and that speaks both swedish and english fluently. This is a consultant assignment for a year but for the right person there will be possibilities to be extended and to be hired directly at this company. We hope that you can start immediately.
About the position
As the administrative Assistant to VP Sweden, you will be a member of the Complete Vehicle Management Team Sweden. You will play an important role in making our function run efficiently supporting the VP and Management Team Sweden and to ensure that communication flows well to the team of about 450 people as we work in a dynamic and fast-paced environment.
The role has the responsibility to assist and support the Vice President for Complete Vehicle Sweden (CV SWE) with administrative tasks and representing Complete Vehicle Sweden organization.
What you will do:
You will work closely to the VP with planning and organizing the agenda. Coordination is really a key strength. You will be using it to assist in management meetings, coordinate AMG meetings, strategy days and follow ups. You will be scheduling meetings, prepare agendas and identify, prioritize and surface topics and issues that requires VPs attention along with suggestions for mitigation or resolution.
You will manage the functional calendar rhythm, but also manage travel arrangements, administration and expenses reports.
Coordinating leader dialogues and CV SWE all employees meeting is included in your responsibilities. Also creating communication material across CV SWE organisation, for example presentation, newsletters, pods and film will also be a part of your role.
You will collaborate with assistants and key stakeholders both inside CV SWE and across Volvo Group. You will also administrate EBD orders, coding invoices, mailforms and Fieldglass and approve in Faros and Origo.

To be successful in this position you need to be service minded and experienced in handling a wide range of administrative duties and executive support. You will be working in a high pace international environment that requires you to be well organized, flexible, and able to cooperate from time to time with people in a global context.

• Relevant education or experience from similar positions
• Fluent written and verbal English skills

• Proactive mindset and comfort with ambiguity to identify and solve issues
