Summary of Duties:

The Office of the Embassy of Canada in Stockholm has a requirement to create a pool of individuals to work as Receptionist or as a Program Assistant, according to internal demand on an as-needed basis, as an Emergency Employee. The duties may include, for example:
. Receiving guests at the office's reception booth
. Operating the telephone switchboard servicing all the office's programs
. Administrative support functions
. Liaise with local government
. Other duties as required

Area of selection/Eligibility:

Essential qualifications

Education:
. University degree in a relevant field OR a high school diploma with at least five (5) years of relevant* work experience.

*Relevant experience is regarded as working in an administrative and/or policy support capacity and/or as receptionist.

Languages:
. Fluency in English (oral and written).
. Fluency in Swedish (oral and written)

Experience:
. A minimum of one (1) year of recent* work experience in providing administrative and/or policy support services and/or reception services
. Recent* experience in providing advice and solutions to internal and external clients

*Recent is regarded as within the last 5 years
Knowledge:
. Advanced knowledge of the Microsoft Office suite (Word, Excel, Outlook)

Ability/Competencies:
. Able to independently plan and organize
. Able to coordinate priorities within tight deadlines
. Able to analyze and interpret new information quickly
. Attention to detail and accuracy
. Able to communicate orally and in writing clearly, politely and effectively
. Flexible and handles work pressure well
. Professional integrity and good judgment
. Proven ability to work courteously and effectively in a team

Asset Qualifications

Preference may be given to candidates who have the following asset qualifications:

Language:
. French (oral & written)

Experience:
. Recent experience (within the past five (5) years) working in a diplomatic mission, a government agency, an international organization, or a multinational company

If candidates meet the factors listed in the asset qualifications they must also clearly demonstrate how they meet these factors in their covering letter.

Operational Requirements:
. Overtime may be required occasionally
. Hours of work: Normal working week 37.5 hours (7.5 hours per day)

Conditions of Employment:
