Protocol Assistant (Must be a U.S. citizen)

The incumbent serves as a Protocol Assistant to the Embassy staff on the full range of protocol and social matters.

Major duties and responsibilities

1. The incumbent is allocated, or assists the Senior Protocol Assistant with, individual events hosted by the Embassy, and is responsible for preparing and issuing invitations, obtaining biographical information, following through on responses, entering them in the Protocol database, preparing a final list of participants. Provides general assistance to the Senior Protocol Assistant and performs related duties as assigned.

2. The incumbent, in the absence of the Senior Protocol Assistant, takes over the organization of all official events currently being arranged for the Embassy, finalizing all acceptances and regrets, distributing guest lists, and making final arrangements.

3. The incumbent handles numerous inquiries by telephone, e-mail, fax, and letter, from members of the public and Embassy personnel. Drafts correspondence related to protocol issues. Logs gifts and prepares thank you notes. Meets and greets arriving guests. Advices Embassy and associated agency officials on all aspects of protocol, precedence, and accepted social customs in Sweden.

QUALIFICATIONS REQUIRED:

1. Security Clearance:
Must be a U.S. citizen and be able to obtain secret level security clearance.

2. Education:
Two years of college.

3. Prior work experience:
Five years' secretarial experience with increasing responsibilities required. Experience in a protocol-related area.

4. Post entry training:
On-the-job training.

5. Language proficiency:
Level IV fluent spoken and written English and Swedish.

6. Knowledge:
Knowledge of Swedish and American protocol and the Monarchy, with a wide contact base within the Swedish political and social scene.

7. Skills and Abilities:
Microsoft word, Excel and Outlook. Excellent interpersonal and customer care skills. Ability to work efficiently, with attention to detail and minimum supervision, and as part of a team. Excellent organizational skills, ability to work under pressure and prioritize workload to meet deadlines. Good legible handwriting.

BASIC REQUIREMENTS:

1. This position is available to American citizens with permanent residence permits in Sweden, under the terms of the Rockefeller amendment authorizing Embassies to hire Americans abroad for FSN positions.

2. Applicants must be at least 18 years of age.

3. Applicants are selected for appointment on the basis of education, experience, and suitability for the position to be filled.

4. The selected applicant is subject to medical clearance and security investigation and clearance.
