Beskrivning av arbetsuppgifter:
Major Duties and Responsibilities
a. Staff:
.Supervises the staff;
.Instructs the Cook about upcoming events;
.Makes all arrangements for luncheons, dinners and receptions after coordination with the Ambassador or the Ambassador's spouse;
.Supervises the proper execution of staff jobs;
.Inspects the silver inventory and wine cellar as well as the linen closets;
.Counsels the household staff when problems arise;
.Maintains a good morale in the residence - "tries to smooth rough edges";
.Monitors staff time and attendance, annual leave and sick leave slips.
b. Residence Calendar:
.Checks daily with the Ambassador or Ambassador's spouse on his/her needs;
.Arranges spouse's schedule, makes appointments and acts as interpreter, if and when needed;
.Acts as liaison between the Ambassador's Office, the Protocol Office and the Residence;
.Works with the Ambassador or spouse and the Protocol Office on guest lists and table seating and special food requests (vegetarian, dietary plans);
.Does most of the non-food shopping for the Residence (ordering and buying flowers, etc.).
c. Accounting/Vouchering:
.Maintains the financial records of the Residence, incl.representational accounts as well as ORE funds;
.Prepares the ORE and representational vouchers;
.Replenishes petty cash fund to carry out duties (i.e., shopping for food, cleaning materials, flowers, etc.).
d. Organization/Maintenance of Residence:
.Submits work orders to the Embassy's Facilities Management Office and/or General Services when maintenance crew is required to perform maintenance and/or repair work at the Residence;
.Coordinates basic security issues pertaining to visitors and guests for entrance passes or authorization to the Residence with the Regional Security Office and the security guards at the Residence.
e. Performs other duties as assigned.


Beskrivning av kvalifikationer:
a. Education: College education with vocational training in office/hotel administration.
b.Work Experience: 5 years in a similar position in a hotel or similar institution.
c. Language: Level 3 (Good working knowledge) of English and Swedish.
d. Abilities and Skills: Basic knowledge of bookkeeping and Human Resources practices, Swedish as well as American protocol policies, good diplomacy and interpersonal skills, supervisory skills; must be flexible and be able to manage a household and staff with a quickly changing agenda.
