We are now looking for a service-minded, well-organized and driven administrator to support top management as well as handling various administrative tasks related to incoming orders and supporting the marketing team in different projects. This role is vital for ensuring that our business runs smoothly.

As administrator, you will work closely with the CEO of Sectra Imaging IT Solutions and provide support, which includes a wide variety of activities and responsibilities. For example, you will be responsible for the coordination and execution of internal management meetings as well as being responsible for specific projects and tasks. Most of your work will involve both written and verbal communication, word processing and typing, and requires relevant skills such as MS Office and organizational skills as well as the ability to multitask and work well under pressure. You should be comfortable playing a central role in various tasks and being the person who makes things happen.

In this role, you will also be the stand-in for our regular order handler, meaning that you will handle order registrations and specific order-related tasks on a weekly basis, but when needed assume full responsibility for the order inbox and related services.

From time to time, the marketing department will also require support with various tasks, such as packing and preparing for exhibitions and keeping an eye on the marketing inbox.

In this position, you will:

Assist the CEO with coordination of travel bookings, preparation and planning of meetings and other events, and general administrative tasks
Take on smaller assignments and projects delegated by the CEO or the marketing team, such as exhibitions and VIP visits
Schedule and attend meetings, create agendas and take minutes
Maintain calendars and arrange appointments
Liaise with staff in other departments and with external contacts
Register incoming orders from Sectra’s medical IT customers around the world
Handle renewals of service agreements
Assist colleagues with requests related to orders and licenses
Administer Sectra’s sales tool (Microsoft Dynamics, CRM) and business tool (Jeeves, ERP)

This is a full-time position, located at our headquarters in Linköping.

A high school diploma or Bachelor’s degree with a strong academic performance
Fluency in English and Swedish
You are service minded, social and enjoy supporting other functions within Sectra to ensure that we can deliver on our promises and maintain the highest level of customer satisfaction
You are careful and structured in your way of working and ensure you get the details right
You follow established processes to limit mistakes and deliver high quality
You have the drive to improve the efficiency of your daily work and can take your own initiative and go the extra mile if needed

Speak more languages than those required above
Have experience of other cultures
Have interests besides school/work, such as sports, sports leader, music, horseback riding, singing or flying as examples
Have experience from working with ERP systems (Jeeves or similar) and/or CRM systems (Microsoft Dynamics)
Have work experience from finance and accounting
