Euromaint is looking for an Executive Assistant to headquarters in Solna

Euromaint offers qualified technical maintenance to our customers and have almost 1000 employees around in Sweden. We are looking for an Executive Assistant that will support our CEO Gorka Tamayo and or senior-level managers with administrative- and business-related tasks.

The Executive Assistant will contribute to the efficiency of our business by providing personalized and timely support. You will be helping, organizing and supporting the team with tasks that results in a more efficient way of working. To be a good support for the team we believe you have outstanding organizational and time management skills, the ability to see both the big picture and the details to be one-step a head in planning and supporting. We believe you are service minded and enjoys structuring and organizing your co-workers work life! Since Gorka and several of our senior-level managers are foreign you will be communicating in English, translate information and guide within Swedish culture/laws/regulations in a Nordic/International environment.

The Executive assistant will also work towards the organisation by acting as the contact person for facility related topics (at headquarters), coordinating events and working closely with HR and Communication.

We believe you have a lot of patience, are known in the office as the “fixer” and enjoy working both independent and in teams. You have worked in similar positions before and are experienced with working with confidential information, with plenty of tasks on your plate and always leaving your desk a little more efficient than the day before.

Tasks and responsibilities

- Acting as the point of contact among executives, employees, clients and other external partners.
- Managing executives’ calendars and set up meetings.
- Make travel and accommodation arrangements.
- Act as an office manager and performing office duties that include ordering supplies and keeping the office in great standard.
- Format information for internal and external communication - memos, emails, presentations, reports in cooperation with Communication responsible.
- Preparing, reading and/or analysing financial statements, reports, memos, invoices letters, and other documents.
- Filing, organizing, maintaining and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Helping prepare for meetings and take minutes during meetings.
- Provide general administrative support.


Experience and competence

- A BSc degree within Business Administration or other relevant field or 10+ years experience in a similar role.
- 5+ years experience in similar roles.
- Excellent knowledge in MS office and other office gadgets, software, and applications.
- Ability to organize a daily workload by priorities and must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Previous experience from maintenance, construction, or automotive industry.
- Excellent verbal and written communications skills in both English and Swedish.
- Experience of event planning/coordination.
- Experience of working in an international company.


About the employment

The position will start with a 6-month probation period before turning into a permanent employment. The position is on fulltime.
