Role Summary:
As a Fleet Coordinator, you will be responsable for the administration of our rental cars
Responsibilities will include but will not be limited to:
Send daily vehicle report to the Operations team (stations)
Control that new cars acutal has arrived
Work with soldcars – in salesreport, close the in systems and deregister cars ín Transportstyrelsen system.
Order final invoices and residual value invoices from finance company
Send final invoices to dealers
Control which sold cars the dealers have paid for and follow up if payment has not been made according to agreement.
Make sure environmental bonus has been paid out and update information in team reports
Invoice difference invoices to dealers
Send environmental report
Manage servicecodes, yearly inspection and service in system (Wizard)
Create Make Model codes to our Licencees
Provide Licensees with MVA numbers
Manage and reply to questions and request coming in the fleet teams email group inboxes
Approve invoices
Send reports to our finance department
Make sure all our contact persons and mail address are up to date
Install new cars
General administrative duties as required.
Support Logistic coordinator with booking transports and cover during holiday or sickness
Support and help with financing new cars if needed


Key Accountabilities:
Manage our end-of-life cost for our vehicles efficiently and follow up with stakeholders so we get paid.
Support the stations with daily fleet report so they can plan their rentals and utilisation
Manage fleet group inboxes and makes sure emails are replied and followed up on



Role Requirements:
Previous experience in an administrative role would be preferable
Proficiency across the Microsoft suite of products, particularly Excel
Ability to learn new technology.
Demonstrates flexibility and able to work within a demanding environment
High initiative, hands on and an ability to work efficiently
Communication: Communicates effectively with individuals within the organization, with customers and business partners
