The Secretary works in HR in the Administration Unit and reports to the Human Resources Manager. The main purpose of the job is to provide assistance in the form of a helpdesk to the staff in the Centre, in particular newcomers as far as their relocation from home countries and installation in Sweden and Stockholm is concerned. The job is characterized by a high level of service attitude, goal achievement orientation, flexibility, tact and discretion. As a Secretary you are expected to perform the following tasks: -provide general support and assistance to the staff in the following areas: Accommodation and installation: -lease and purchase, contacts with real estate agencies, contracts, accommodation utilities, contacts with Embassies and Consulates, insurance companies, establishment of bank accounts, car registration, health care, entering the Swedish labour market and education system by staff families; Swedish culture: -orientation in Sweden and Stockholm, leisure and recreation, sports, health clubs, cultural events, restaurants, etc. Shopping, social clubs, local thematic associations, international associations in Sweden and churches. -Establish professional relations with customer focal points in the companies providing services to our staff in order to limit the constrains due to the lack of 'personnummer' -Prepare and update a welcome document for newcomers with guidelines on the above mentioned topics; -Hold introductory meetings with newcomers; -Function as a focal point for staff regarding relocation and installation; -Launch, maintain and update a database providing information needed for newcomers' smooth relocation from home countries and installation in Sweden and Stockholm; -Respond to queries and requests for information and documentation with a high level of service attitude, tact, discretion and confidentiality; -Perform any other task assigned by the supervisor. Qualifications and experiences required Professional experiences: -Experience in relocation of expatriates to and from Sweden -Experience in cooperation with Swedish authorities and Swedish public sector -Experience in an international working environment -Ability to establish excellent professional relations -Very good command of English (both oral and written) -Thorough knowledge of Microsoft Office (Word, Excel, Power Point, Outlook, Internet Explorer). Personal characteristics/interpersonal skills: -Target achievement orientation, persistence and assertiveness -Excellent communication skills -Ability to search for the information and provide solutions -Ability to work under pressure and within tight deadlines -Excellent organisational skills and ability to prioritize -Excellent ability to work in a team.
