International IDEA seeks an Operations Planning Officer to be based at its headquarters in Stockholm.The main function of the post are: .To facilitate and coordinate the detailed planning of the IDEA Programme of Operations and its effective implementation, oversight and review.The incumbent needs to handle the day-to-day routine running of an efficient office.It also requires excellent organizational skills and written and oral communication skills are also essential.Duties and Responsibilities: 1.Advising and participating in the preparation, co-ordination, monitoring and review of the Programme of Operations, narrative workplans and the Comprehensive Planning and Budgeting Frame; drafting, tracking, reviewing and editing of operational planning material, including operational reports, and text and budgets prepared by staff for the Programme of Operations, the workplan and funding proposals; 2.Liaising and consulting with finance and administration staff to ensure consistency and timely production of workplan and financial documentation; overseeing and controlling workplan implementation by ensuring operational expenditures are in accordance with approved workplans and allotments; providing advice to staff on actions to be taken; 3.Advising and assisting in designing, implementing and maintaining an appropriate administrative structure dealing with the Operations Reporting Frame, the mission calendar and short-term staffing table for Operations, the Funding Summary Papers, and other operational procedures; 4.Representing the Director of Operations in meetings relating to administrative, financial and/or budgetary matters; preparing minutes and reports and/or making recommendations on such matters.5.Drafting and organisation as required of internal and external operational communications and correspondence in English, and when appropriate in other languages.6.Management of the calendar and schedule of the Director of Operations and preparation of meetings and meeting material.7.Assistance with the update and maintenance of the Institute's internal communication system 8.Acting as part of the conference secretariat for meetings of the governing bodies of IDEA 9.Performing any other duties assigned by the Director of Operations Qualifications and required skills: Level and type of formal education: University degree, preferably at post-graduate level or MBA, in Public Administration or equivalent Professional experience: 6 years of experience of progressively responsible work in the field of operational planning, project management and/or administration; ability to work in a team setting; ability to work independently and multi-task.Experience in operations planning within IDEA or within a similar organisation would be an advantage.Language Skills English: fluent writing and presentation skills Other languages, in particular Spanish, would be an asset Computer skills: Microsoft Office (Word, Excel, PowerPoint), Outlook.Some familiarity with Microsoft Project would be an asset.All application documents should be in English. 1.Completed Application Form of IDEA (mandatory) 2.CV (optional) 3.Letter of motivation (mandatory) Further information www.idea.int
