Assistant Human Resources Officer (temporary)

IDEA seeks an Assistant Human Resources Officer for a 6 month period to be based in Stockholm, Sweden. The incumbent will report to the Human Resources Manager and will belong to the Human Resources Unit (currently composed of five employees) which is part of the Division of Finance and Administration which employs 12 staff members.Under supervision of the Human Resources Manager, the Assistant Human Resources Officer will perform some or all of the following duties, as required:

- Consel staff members on entitlements, administrative HR procedures, rules, regulations, processes and practices, conditions of service, duties and responsibilities.
- Act as the first point of contact for staff queries on HR related matters. Draft responses to queries concerning HR related matters. Review and process requests and reimbursement claims, assigning relevant budget codes.
- Assist with the entire job advertisement and recruitment process. Undertake initial screening and evaluation of candidates and take part in interview panels as required, preparing relevant documentation. - Update and maintain the standard working procedures for recruitment policies and practices, ensuring their consistent application.
- Brief job applicants and new staff members on terms and conditions of employment, as needed. Assist new staff members in the accurate completion of HR administrative forms.
- Assist new internationally recruited staff and their families with their integration into the new work/living environment and assist in resolving problems which might arise.
- Liaise with the host country authorities to obtain visas and ID cards for new staff, providing timely and accurate information on staff arrivals and departures.
- Prepare letters of appointment, extension of appointments, acknowledgement of resignation, certificate of employment and other formal documents relating to staff matters for the signature of the Human Resources Manager. Monitor completion of probationary periods and related confirmations of staff member's fixed term appointments, and any other contractually related dates.
- Support the HR Manager in successful development, drafting and implementation of HR policies and procedures, promoting the use of new processes, providing advice on interpretation, and inform staff about correct application of new procedures.
- Support the HR Manager in liaising with staff representatives to resolve HR matters of mutual concern.
- Provide general office support, process, draft, edit, proofread and finalise for signature/approval a variety of correspondence and other communications.
- Set up and maintain personal files/records (electronic and paper) ensuring that all relevant documentation and forms are on file in a chronological sequence; maintain and update on-line HR information. Maintain HR databases and files. Maintain HR related statistics and prepare periodic reports on staffing matters, as requested.
- Perform other duties as required.

University degree in relevant field or equivalent studies, ideally with specialisation in Personnel/Human recources administration.
