Projekt Administratör/Assistent
As a member of the core team, the Project Administrator supports and assists the Project Manager with administrative matters.
Tasks include:
Planning of meetings internally, as well as with customers and suppliers.Preparation and distribution of meeting agendas and booking of meeting rooms.
Taking meeting minutes when present at meetings.
Attending project meetings when required.
Setting up, reviewing and maintaining Project Plan in MS Project or Primavera, (depending on capability of Proj.Admin).
Keeping track of project costs and preparation of relevant reports to the Project Manager.Entering costs when needed into the local ERP system.
Compilation and preparation of monthly progress reports, both internally and to customers.
Follow up and review of document control systems and procedures.
Follow up and review of correspondence control systems and procedures.
Registration of incoming and outgoing correspondence and documents in a document tracking system.
The project administrator also:
Assists with the planning of customer visits and other travel matters.
Assists with the archiving of documents (in a traceable manner).
Assists procurement with compilation of enquiry documents.
Organizes translation of project related documentation, if required.
Organizes compilation and dispatch of project related documents such as manuals etc.
The position requires some travel, both domestic and international.
Qualifications:
The Project Administrator should have:
High School degree or preferably Bachelor of Science degree in engineering or business (i.e.Project/Construction Management) - or equivalent training/experience.
Preferably 1-2 years' project related experience.
Experience/knowledge in one of the following is an advantage: engineering, procurement, fabrication, quality control, construction, contracts, commercial terms, and scheduling and cost control.

Good organizational skills and an ability to prioritize tasks in a fast paced environment.
Excellent communication skills (both written and oral) and effective interpersonal skills
Strong computer skills, including all Microsoft Office Products, Lotus Notes (and preferably MS Project and/or Primavera).
The ability to complete assigned tasks within the time allotted, with minimal supervision
In addition you are:
Able to function effectively both as a member of a team and as an individual contributor
A highly motivated individual with the ability to work under pressure and meet tight deadlines.
Capable of effectively and accurately managing several projects at the same time.
Fluent in Swedish and English, oral and written.
