The position of the Service Assistant is based in the Nordex Uppsala office. The role involves supporting the Service Director and extended service team with administrative tasks in addition to the key accountabilities below. The role involves from time to time also standing in for tasks of the other assistants within Nordex Sweden when they are not available.




YOUR TASKS
Responsible for the creation of Service Purchase Order Requisitions
Working in close alignment with the other assistants and administration team
Arranging of conferences and internal and external meetings
Calender management and alignment for Service Director and Heads of Service departments
Involved in meetings for creation of minutes of meeting and follow up action lists
Following up with extended team on actions and deliverables from meetings and conferences
Supporting with administration tasks in improvement inititaives for service department
Responsible to keep company service presentations and other templates up to date
Responsible for upkeep of the Nordic Service Microsoft Team site
Responsible for service documentation management on sharepoint and cloud drive
Handling of travel expenses for Service Director and Heads of Service departments
Booking of Travel for Service team when required
Support in the administration of regular reporting of KPIs to HQ and region
Assisting of onboarding of new staff when required
Assist other service staff with administrative requirements as needed
Further administrative tasks as required
Stand in for other assistants for vacation/sick leave etc.



YOUR PROFILE
Experience in administration or executive assitantance
Or qualified in business administration or relevant qualification to suit assistant role
Minimum high school education or equivalent
Fluent in English
Strong IT skills, especially MS Office (Word, Excel, Power Point, Outlook)
Experience in SAP would be an advantage
Flexible and able to deal with a number of items running concurrently
Outgoing, Self-motivated and committed
Able to work in a team and autonomously
Strong organizational skills and able to set priorities
Excellent communication skills internally and with external customers
Understanding of confidentiality (involved in confidential meetings)
Strong interpersonal skills
Available to travel from time to time
