About the position
The West Swedish Node of AI Sweden is positioned at Lindholmen, Gothenburg and is a thriving place were partners meet, learn from each other and cocreate AI solutions. The office include Event Space, Co-location work places and the Data Factory including a testbed facility.
This position is intended to make our partners experience an inspiring and well-functioning facility and meeting place.
This position includes managing day to day activities and events in our Event Space together with the Node manager, communicate with speakers for our events and courses, as well as to design and run the administrative systems and routines that are needed to ensure that the Data Factory continues to develop and deliver value to all stakeholders of AI Sweden.
We are looking for an energetic and curious individual with a good understanding of administrative methods, systems, and how they can be developed and implemented.
We expect applicants to show strong administrative, social and communications skills, as well as a commitment to making real difference by enabling our partners to make use of the resources available in AI Sweden.
The location for the role is Lindholmen, Gothenburg.

Job tasks
Typical tasks will evolve but at least include:
Deliver a seamless experience for visitors and partners at the office – including helping visitors and partners with access cards, routines, and practical issues.
Manage physical, digital and hybrid events together with the team, including invitation, booking catering and contacts with speakers
Design, develop, implement and maintain administrative systems (processes and tools).
Administrative services and management, including
General administration for the Data Factory organization
Handling partner contact lists
Administrating access to resources for partners
Support for budgeting and financial control
Contract management
Providing information to external partners.
Inform/train colleagues and partners in our administrative systems.

Comfortable that no day looks the same
Your Background
University education - Master’s degree, probably in public administration, controlling, hospitality Management or similar.
Fluent in written and spoken Swedish and English
Proficient in state-of-the-art administrative tools
A few years experience is likely an advantage.
