Our Client is an American public multinational corporation that develops, manufactures, licenses, and supports a wide range of products and services predominantly related to computing through its various product divisions.

Its most profitable products have come to dominate the commercial office suite market, and the company’s operating system, which has achieved near ubiquity in the desktop computer market. The company has also diversified in recent years into the video game industry as well as into the consumer electronics and digital services market.

Executive Assistant

We are looking for the right candidate to acts as Executive Assistant for the several directors of the most valuable IT company in the world. Needless to say; this is a onetime opportunity for the right candidate! The candidate we are looking for is self-starting, effective and ambitious.

As Assistant you will be a problem-solver and must be able to work proactively, be a master at multitasking and always be a step ahead. The role includes an extensive network both internally and externally, both in Sweden as well as internationally.

The role is fully responsible for the administrative support to the Sales Director and the organization. In addition, it manages several administrative processes and will act as the project manager for certain initiatives and events.


The main job responsibilities will be:
• To be overall responsible for supporting the Directors and their management teams (incl. travels, engagements and other administrative tasks), both on a daily and on a long-term basis.
• Book and coordinate group meetings organized by the Directors segments (e.g. all hand, weekly management meetings). Coordinate the internal communication through OneNote, send out agenda, book room/Teams Meeting.
• Support all recruitment and on-boarding processes with practicalities such as PCs, mobile phones, parking permits, access cards etc.
• Assist new recruits with a variety of questions and issues, including expense report system.
• Check expense reports for direct reports to the Director.
• Help employees with questions regarding the purchase system My Order and keep track of expenses.
• Maintain up-to-date internal policies on travel, mobile etc. and inform employees of changes if needed.
• Keep the distribution list, security groups, organization chart, holiday list etc. updated.
• Be part of the group of administrative assistants at the company.
• Have contact with Western Europe assistant group and help in various questions and issues.
• Be part of and participate in arranging external events, workshops, trainings and kick-offs.


The Candidate Requirements are:
Proven capabilities and experience as Executive Assistant. Strong interpersonal skills and can-do mentality. Service minded, flexible and able to effectively multi-task. Ambitious and always interested to develop and learn new things. Comfortable and thriving in a volatile, uncertain, complex and ambiguous environment. Advanced knowledge of standard productivity tools like Outlook, PowerPoint, OneDrive and Teams. High integrity and trustworthiness a must and behave and follow our code of conduct. You are well structured, highly motivated and a positive team member. University degree, preferably in business administration or equivalent, is a plus.

The candidate we are looking for are fluent in Swedish and English, only candidates with a Swedish work permit already in place will be taken into consideration, and you must have relevant experience.

The position has an end date, the 30th of June 2020 but with an option to extend until the end of April 2021. The position is going to be based at our clients’ Swedish office in Stockholm.
