About the position

As the Operations Manager you make sure that our office runs smoothly on a day-to-day basis. You take pride in maintaining a well-supported office as well as a safe working environment. You will also be involved in HR support and administration. You will be based in their fantastic office at Gamlestads Torg.

What you will do:

Administrative and Office Management Responsibilities:
• Ensure HSE and office policies are up to date and adhered to.
• Act as point of contact for Avinode with vendors and office building staff.
• Maintain par levels of office supplies and miscellaneous products.
• Provide office equipment setup for new hires.
• Participate in the development and execution of office and operations improvements
• Manage all incoming and outgoing mail and packages
• Handle administrative requests and queries, such as - coordinate and schedule office and offsite events - create and maintain shared schedules (travel, vacation planning etc)

HR support:
• Recruitment process administration. Be the liaison between WFS and Avinode making sure that the HR Management system (Workday) is up to date.
• Administration of employment agreements.
• Payroll administration.
• Ownership of the Swedish personnel handbook.
• Support the hiring managers in Sweden around the recruitment process (provide templates, benefits information, questions relating to the handbook).
• Support the hiring managers in Sweden around the onboarding process (provide guidance on templates, resources etc).

About you

We are looking for you who have a few years´ experience (3 years +) in progressive administrative work. Previously you may have worked as a CEO assistant, administrator, or front desk. You need to master both English and Swedish fluently and you have great communication skills both verbally and written. Proficiency in Microsoft Excel, Word, Outlook and PowerPoint.

As a person you are service minded, have high energy, and you are motivated with high attention to details. There will be a wide range of tasks and therefore you need to have an ability of multitasking. We believe that you are structured, organized and you are good at planning. Furthermore, you have a can-do attitude, and you are not afraid of rolling up your sleeves, and able to think on your feet. You take ownership of your job duties and can work with minimal guidance. Last but not least, you are happy to be based in the Gothenburg office.
